Privacy, clearly explained.
You may share contact details, an idea or files with me. Here is what I use them for and how I handle them.
Who is responsible?
Fer Multimedia is the business of Ferdi Servaas, based in Pijnacker, the Netherlands. For questions about your data, email info@fermultimedia.com or call 06 449 111 07.
Contact, website reviews and intake
The contact form sends me your question, email address or phone number, plus any name, business details, selected services and files you add. A website review request includes your website address and email address. The website intake also covers your requirements, current website, audience, content, timing and any attachments.
I use this information to answer your question, review your website and prepare a suitable approach or quote. When you are considering or commissioning work, the legal basis is preparing or performing that contract. For other correspondence, it is my legitimate interest in responding to enquiries and maintaining contact. Your details are not added to an automatic newsletter or marketing list.
Your files and answers
Answers and checked attachments are emailed to Fer Multimedia. The website does not publish them as posts or files in its media library. Files are processed temporarily on the server for sending.
Only send what is needed to understand your request. Do not send passwords, identity documents or sensitive personal data through these forms. For confidential or large files, we will agree on a suitable way to share them.
Technology and protection against misuse
Operating and protecting the website may involve processing your IP address, request time and technical error details. The legal basis is the legitimate interest in keeping the website available and secure.
The forms use a temporary, cryptographically derived value from the IP address to limit excessive requests. This counter expires after ten minutes. A submission identifier used to prevent duplicate messages expires after one day. This does not create a visitor profile. Technical server logs are managed as part of the hosting.
Who receives your data?
I use hosting and email services for this website and for handling messages. These services may process data to provide and secure their service. Appropriate processor agreements are needed where they act as data processors. Delivering a project may also involve agreed suppliers, depending on the work.
I do not sell your personal data. Disclosure may be necessary where required by law. The final hosting and email setup determines which providers the new website uses.
How long is data kept?
Enquiries and correspondence are retained for as long as needed to respond, manage an active quotation and deal with follow-up arrangements. For commissioned work, delivery, maintenance, agreements and any statutory administrative duties also determine retention. Data no longer needed for these purposes should be deleted.
Retention in the mailbox and any backups also depends on the agreed email and hosting setup. Temporary form identifiers have the short expiry periods described above. You can always ask which of your details are still held.
Cookies and external links
The new website loads its fonts and images from the website itself. No advertising or analytics tracking scripts are built in. WordPress uses functional login cookies for signed-in administrators.
WhatsApp, live portfolio websites and other external links open a third-party service. Its privacy policy also applies from that point. This website does not automatically add you to a contact or mailing list.
Your rights
You can ask to access, correct or delete your data. Depending on the circumstances, you can also request restriction or portability, or object to processing based on a legitimate interest. A statutory retention duty may prevent immediate deletion of some data.
Email your request to info@fermultimedia.com. I may ask for further information to verify that the data belongs to you. Please do not send a copy of your identity document initially. You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
If something changes
This policy will be updated if the way the website processes personal data changes. This version covers the renewed website and was updated on 2 November 2026.
